What hiring managers look for in a Paralegal

Venue and practice-area fluency

Postings ask for e-filing in named courts and knowledge of local rules, not "litigation experience." If you've filed in Cook County and the Northern District of Illinois, say so in those words, with the filing systems you used.

Deadline control

A missed answer date or statute of limitations costs paralegals their jobs and exposes firms to malpractice claims. Name your docketing system and the record behind it.

Named platforms, not generic tech

Job ads name Relativity, Filevine, SoftPro, CSC or INSZoom. Managers want proof you won't need weeks of training on their stack.

Scope of ownership

Small-firm paralegals often handle a matter from intake to close; large-firm paralegals usually own one phase, such as discovery. Say which you did and how many matters you carried.

Judgment inside ethical lines

California's paralegal statute, for example, bars paralegals from giving legal advice, representing clients in court or setting client fees, and hiring attorneys everywhere read resumes with those limits in mind. Show that you work under supervision and protect privileged material.

Professional summary examples

Entry level

ABA-approved paralegal certificate graduate with a 12-week internship at a legal aid family law clinic. Drafted petitions, financial disclosures and proposed orders for 43 divorce and custody matters and e-filed through eFileTexas. Works daily in Westlaw and Clio; Spanish-English bilingual.

Why it works: An internship with volume and real filings counts as experience, and bilingual skill gives a screener a reason to call.

Mid level

Corporate paralegal with 6 years across a law firm M&A group and an in-house legal department. Maintains good standing for a 236-entity domestic and international portfolio in Diligent Entities, drafts board and stockholder consents, and runs the annual-report calendar across 28 states. Has managed signing and closing checklists on 11 add-on acquisitions since 2024.

Why it works: Portfolio size, system and deal count show what an in-house team can hand over on day one.

Senior

Senior litigation paralegal with 12 years in complex commercial and securities litigation at AmLaw 200 firms. Leads paralegal teams of up to 6 on matters with multi-million-document productions and has supported 9 federal jury trials through verdict. Manages eDiscovery vendors, trains junior staff on Relativity workflows, and wrote the trial-prep checklist the group still uses.

Why it works: Leadership, trial count and process ownership are the senior signals.

WeakResponsible for filing documents with the court.

StrongE-filed 143 pleadings, notices and proofs of service through eFileTexas during a 10-week internship, with no clerk rejections after the second week.

What changed: A system, a volume and an accuracy signal replace a duty statement.

Entry level: medical records (personal injury)

WeakHelped request medical records.

StrongRequested and tracked records and bills from 64 providers on 37 pre-litigation files in Filevine, cutting average turnaround from 41 to 26 days with a weekly follow-up schedule.

What changed: An owned process and the time saved, the metric PI firms track.

WeakDid discovery for litigation cases.

StrongDrafted first-pass answers to 23 sets of interrogatories and document requests for attorney review, then Bates-stamped and served rolling productions totaling 61,380 pages on schedule.

Mid level: business immigration

WeakPrepared H-1B petitions.

StrongPrepared 86 H-1B petitions (new, change of employer and extension) and filed supporting LCAs through FLAG; 9 drew RFEs, and all 9 were approved after attorney-reviewed responses.

What changed: Petition types, volume and RFE outcomes, what immigration managers screen for.

Senior level: trial leadership

WeakSupervised paralegals during trial.

StrongLed a 5-paralegal team through a 3-week federal jury trial, running hot-seat exhibit display in Opus 2 and training 2 junior paralegals to prepare deposition designations.

What changed: Team size, trial length and training show leadership instead of claiming it.

Senior level: process ownership

WeakImproved docketing procedures.

StrongRedesigned the litigation group's CompuLaw docketing intake and weekly audit; the group then logged zero missed court deadlines across roughly 340 active matters over 18 months.

What changed: A system change tied to the outcome firms fear most, at department scale.

Certifications and education

What's expected

Paralegals typically need an associate degree or a certificate in paralegal studies, and some employers prefer a bachelor's degree plus a certificate. An ABA-approved program is a recognized marker; the ABA approves programs, not individual paralegals. Certification is voluntary, though some employers prefer or require it.

California sets its own rules. Under Business and Professions Code § 6450, anyone working as a paralegal must hold a listed qualification, such as a certificate from an ABA-approved program or a bachelor's degree plus a year of supervised law-related experience with the attorney's written declaration. Every two years, they must also complete four hours of MCLE in legal ethics and four in general or specialized law, certified with their supervising attorney. In California, add a line such as "Qualified under Cal. Bus. & Prof. Code § 6450; MCLE current."

What stands out

  • NALA Certified Paralegal (CP), and the Advanced Certified Paralegal (ACP) in a specific practice area, which only current CPs can earn
  • NFPA CORE Registered Paralegal (CRP), earned by passing the PCCE and aimed at early-career paralegals; and PACE Registered Paralegal (RP), NFPA's advanced credential, with stricter eligibility requirements
  • NALS Professional Paralegal (PP)
  • State programs: Florida Registered Paralegal (FRP), North Carolina State Bar Certified Paralegal, Texas Board of Legal Specialization Board Certified Paralegal (in a specialty area such as family law or civil trial law), and OSBA Certified Paralegal from the Ohio State Bar Association

Where to place them

Put earned letters after your name and the full credential in a Certification & Education section. Entry level: education above experience; after two years of paralegal work, move it below.

How to list one in progress

Give the stage and a date: NALA Certified Paralegal (CP): Knowledge Exam passed; Skills Exam scheduled April 2027 or Paralegal Certificate (ABA-approved program), [School], expected May 2027. Don't add the letters after your name until you've passed.

Lead with

Relativity or Everlaw, CM/ECF, privilege logs, Bluebook, deposition prep, trial exhibits, local rules, billable hours if you beat your target.
Cut
Transactional work beyond one line, front-desk duties.

In-house corporate and entity management

Lead with

Emphasize
Board and stockholder consents, minute books, annual reports, foreign qualifications, entity management systems, and Section 16 filings (Forms 3, 4, 5) at public companies.
Cut
Billable-hour figures (in-house teams rarely bill time), litigation detail beyond one line.

Plaintiff personal injury

Lead with
Active caseload size, demand volume and time to demand.
Emphasize
Medical records and bills, liens and subrogation, demand packages, adjuster communication, Filevine or Litify.
Cut
Defense-side framing, corporate work.

Business immigration

Common Paralegal resume mistakes

  1. Bullets that read like a legal secretary's role

Scheduling and phone duties hide the substantive work that separates you from administrative staff.

FixLead each role with research, drafting, discovery or filings; cut admin to one line.

  2. Wording that implies the unauthorized practice of law

"Advised clients on settlement options" makes a careful hiring attorney uneasy.

FixWrite "prepared for attorney review" or "communicated attorney-approved settlement terms." If you represented claimants before an agency that permits non-attorney representatives, such as the Social Security Administration, name the agency and your role.

  3. No jurisdiction or practice area

"Supported attorneys on various cases" leaves the reader guessing.

FixName the practice area, courts and e-filing systems in your summary and first bullet.

  4. Confidential details on the page

Client names, captions and non-public settlement amounts raise doubts about your discretion.

FixDescribe matters by type and scale ("multi-district product liability defense") and clear specifics with your attorney.

  5. Confusing a certificate with a certification

"Certified Paralegal" after a certificate program misstates your credentials; CP is a NALA credential.

FixWrite "Paralegal Certificate, [School]" and reserve CP, RP, CRP or PP for credentials you hold.

FAQ

Should my paralegal resume be one page or two?

One page works for most paralegals with under about seven years of experience. Two pages suit senior paralegals with trials, deal lists or team leadership; never pad with duties.

Do I need a certification to get hired as a paralegal?

No. Certification is voluntary, though some employers prefer it and it helps when changing practice areas. California doesn't require one either, but it sets education and continuing education rules for anyone working as a paralegal.

My official title was "Legal Assistant," but I did paralegal work. What should I put?

Keep your official title, since employers verify it. Let your bullets show the substantive work, and use "paralegal" in your summary if accurate.

How do I handle a gap in my legal experience?

Name it briefly ("Career break, family care, 2023–2024") and show you stayed current: contract document review, CLE courses or a new certification all count.

Should I list AI research or drafting tools?

List them if you've used them on real matters and your employer approved their use. Name the tool and how you checked its output, for example "verified every AI-suggested citation before attorney review." Attorneys will be thinking about accuracy and confidentiality, so the verification step matters as much as the tool.
